The role:

The HR-Payroll Coordinator/Office Administrator is a key role based in our Raleigh, NC office working 24 hours per week.  This position has responsibility for a wide range of duties to support the organization’s employees and business objectives related to: office administration, payroll and benefits administration, recruitment activities, onboarding and offboarding, and other diverse tasks as assigned.


What you’ll be doing:

HR-Payroll Administration:

  • Process payroll accurately and punctually, adhering to company policies and regulatory requirements.

  • Verify timekeeping records, reconcile discrepancies, and ensure compliance with relevant labor laws.

  • Address payroll inquiries from employees promptly and professionally, resolving any issues efficiently.

  • Assist with job postings, candidate sourcing, and coordination of interviews/references to support hiring of talent.

  • Coordinate onboarding and offboarding tasks such as new hire set-up/termination in HR systems including benefits enrollment, equipment procurement and return, and communication with employees to ensure seamless processes.

  • Support additional HR related activities as needed.

Office Administration:

  • Manage office supplies inventory, ensuring adequacy of stock levels and timely replenishment.

  • Coordinate office maintenance and repairs, liaising with relevant vendors as necessary.

  • Organize and oversee office events and meetings, including scheduling, venue booking, and catering arrangements.

  • Efficiently handle incoming and outgoing correspondence through various channels, maintaining professionalism at all times.

  • Establish and maintain organized filing systems, both electronic and physical, to ensure easy retrieval of documents.

  • Assist in the preparation of reports, presentations, and other documents as needed.

  • Provide some general administrative support to CEO and President such as calendar maintenance and travel scheduling.

Your superpowers

  • Proven experience in office administration and HR-payroll administration roles, preferably in a similar industry.

  • Familiarity with payroll software (e.g., ADP) and Google Apps a plus.

  • Strong organizational skills and the ability to prioritize tasks effectively in a fast-paced environment.

  • Excellent attention to detail and accuracy, coupled with the ability to maintain confidentiality.

  • Knowledge of payroll regulations, laws, and best practices.

  • Exceptional communication skills, both written and verbal, with the ability to interact effectively with diverse stakeholders.

  • A collaborative team player with the capacity to work independently when required.

Your currencies

  • 3+ years of experience in HR / Payroll and Office Administration roles.

  • Certificate or degree in business administration, accounting, human resources or a related field preferred.
